Terms of service.

Set out here are the Terms and Conditions on which we base the provision of services that The Aesthetic Treatment Rooms provide to their patients. Please ensure that you have read and fully understood them prior to booking a consultation, appointment or treatment at any of our clinics. The Aesthetic Treatment Rooms reserves the right to alter these terms at any time, without warning, as we see fit.

 
 

Consultations

Consultations with our Clinicians are free of charge and last between 20 to 60 minutes. However, please be advised that consultations do require a booking fee to secure an appointment. This charge is fully refundable provided you do not cancel your appointment within 24 hours of your scheduled time, in which case this booking fee is forfeited. Details of our consultation booking fees can be provided on enquiry. If you provide us your correct email address you will receive an email confirmation with information on clinic, date and time 48 hours prior to your appointment. Following your consultation, you may book your appointment for treatment and you may be required to pay a fee to secure your treatment. 

Cancellation policy and late arrivals

If you need to cancel or re-schedule your appointment, we ask for 24 hours notice. Failure to do so will result in you losing your booking fee. This enables us to avoid wastage of materials and our clinician’s time. We can avoid mixing product in advance and it enables us to adjust our booking list and to offer the slot to another patient as there is high demand for our appointments and our clinician’s availability.

We do our best to accommodate late arrivals. However, there may be times when a late arrival may result in either a reduced appointment time or rescheduling your appointment.

Treatment suitability and Results

Our clinicians will assess whether a treatment is suitable for you, and discuss how likely it is to be successful, prior to any treatment being carried out. We reserve the right to refuse treatment if the treatment is deemed as not suitable for any reason,  not likely to be successful, or if there are concerns with regard to patient expectations or patient compliance. Please be aware that individual results for any treatment may vary from person to person and that results are not guaranteed.

It is necessary that you follow our guidance on preparation for treatments that require a specific protocol. Failure to follow the preparation protocol may result in cancellation of your treatment in order to minimise poor results.

Covid19

Please be advised that should a complication (any complication described in consent and others) arise and a lock down is enforced, face to face consultations will not be possible and any assessment, management and support can only be provided by telephone or video call, remotely.

Corrective procedures will not be possible until lockdown is released. This also may mean that if the accepted review period for toxin (Azzalure) has passed, further administration of the toxin may not be possible until the 12 week period when it would be appropriate for the next full treatment. If this risk is unacceptable to our patients, we advise they should not proceed. No refunds or financial compensation can be offered for these circumstances beyond our control. By booking a treatment you are accepting these risks and terms.

Due to possible inflammatory complications involving the Covid19 vaccine and Dermal Fillers we are not able to provide Dermal Fillers to patients 2 weeks BEFORE they receive the Covid19 vaccine or within 3 weeks FOLLOWING the vaccine. We may ask you to provide evidence of the date you have received the vaccine to ensure you are treated outside these times. 


Children

Any patient requiring a consultation and/or treatment, who brings a child with them must also be accompanied by another adult to chaperone the child whilst the patient is being treated. Failure to bring an adult chaperone with any child may result in the treatment being cancelled. No children under the age of 16 years must be left unattended within the clinic at any time.


Packages and Course of Treatment

When purchasing packages and courses, the whole amount must be paid for in full before the first treatment. If for medical reasons, it is agreed to stop treatments during the course, any refund agreed is calculated by deducting the full list price of all treatments already taken, plus any charged for non-attendance, from the total price of the course of treatment, with the difference returned to you.


Liability

The Aesthetic Treatment Rooms will not be liable in contract, or otherwise, for any economic loss (including, without limitation, loss of profit), or for any other special, indirect or consequential loss or damage arising out of, or in connection with, its provision of any goods and/or services to the patient.

It is the patient’s responsibility to ensure that he/she provide The Aesthetic Treatment Rooms with all the relevant medical details and history prior to each treatment. The Aesthetic Treatment Rooms will not be liable for any damage that occurs as a result of the patient’s failure to disclose such details.

We are insured to treat patients of 18 years and over. You may be asked to provide ID to prove your age. If you are not able to prove your age then treatment may be refused.

The patient agrees to comply with all instructions and/or recommendations given to them by, or on behalf of, The Aesthetic Treatment Rooms regarding the care of a treated area.

After medical treatments, patients may receive a follow up appointment, usually within 2-4 weeks of the medical procedure. Any corrective work, or any added treatment deemed necessary by the clinician and the patient, is provided at the follow- up appointment. The Aesthetic Treatment Rooms are not responsible for any further claims by the patient in relation to the aesthetic treatment. If the patient has any further queries or complications they agree to contact, and attend, The Aesthetic Treatment Rooms prior to attending any other clinic or healthcare provider.


Discounts, Product rewards or Thank You vouchers

  • Not to be used in conjunction with any other offer or promotion.

  • Applicable to new and existing clients.

  • One voucher per person.

  • The voucher should be surrendered upon purchase of the treatment.

  • Offer is subject to patient suitability for the treatment.

  • Voucher is non-transferrable and cannot be exchanged for money

Gift Cards and Vouchers

Use of Gift Cards and Gift Vouchers against treatments, products and packages, will require the provision of the card or voucher before the expiry date stated on the card/voucher. They are transferable, but not exchangeable for money.

Your right to complain

The Aesthetic Treatment Rooms is committed to treating all its patients appropriately, compassionately and fairly. If, however, you have an issue with any matter in relation to your treatment at The Aesthetic Treatment Rooms, you are entitled to log a complaint. For privacy and data protection reasons, you are required to do this in writing by a signed letter sent by post or a scanned signed letter sent by e-mail from your own account. The member of staff who initially receives the complaint will convey the details to the Clinic Manager or their designated deputy. You will receive a letter or e-mail within three working days to confirm that an investigation into the matter is underway and that a response will be made as soon as possible.

Complaints of a non-medical nature will be handled in their entirety by the Clinic Manager and their line manager.

In the case of a treatment-related complaint, the matter will be discussed with the relevant practitioner/s and may require you to attend an additional consultation with that practitioner or an alternative member of the clinic’s medical team, including the Medical Director. The objective of this is to provide an explanation or a solution to your concerns. The Aesthetic Treatment Rooms aim to provide you with a full written response within 20 working days or where this is not possible, an explanation as to the cause of the delay.

Returns and Refund Policy

Products will be exchanged within 14 days of purchase only provided the products have not been opened or used.

The Aesthetic Treatment Rooms will not provide refunds on treatments that have been provided in good faith with all appropriate procedures and consents. However, we may, at our discretion provide an alternative/corrective treatment if we deem it justified.

Delivery and Product Returns Policy

Cost of Post & Packaging (P&P) for all orders is £4.50, irrespective of size of order. UK delivery only. We regret that we currently do not offer international delivery for our products.

All orders over £40 are posted Signed For First Class. Please note that we process all website orders daily Mon-Fri (during working hours). Please allow up to five working days for arrival. Every effort is made to package your items safely and securely, we do not accept responsibility for items that are damaged in transit.

If you are unhappy with your delivered products for any reason, please note products can be returned for exchange or refund within 14 days of receipt, provided the products have not been opened or used. If you have received an incorrect item or items, please notify us within one week of receipt
